2. Technical requirements
What are the technical requirements for using HRnest?
To be able to fully use our system you need a computer or a mobile device (tablet, smartphone) with the Internet access.
Can I use HRnest on a smartphone?
Absolutely! HRnest is fully compatible with mobile devices – all you need to use it is the Internet access and a mobile browser (e.g. Chrome, Safari, Firefox, Opera). TIP: to make the everyday use of HRnest simpler, add a shortcut to it on your device’s home screen.
Can employees who do not have an email address use HRnest?
Yes. You do not need an email address to use the employee account, all you need is a login and a password. The employee account is created by the system administrator in a given company (e.g. HR department).
Having an email address is necessary in two cases: 1. when you want to receive notifications about your requests or 2. when you do not remember your login or password and need to reset them.
Can employees who do not have access to a work computer use HRnest?
Yes. There are several solutions for such situations. The employer may create a workstation with a computer or tablet which the employee will use to submit holiday requests or settle business trips. Alternatively, the employee’s supervisor can submit requests or settlements on employee’s behalf. However, if an employee with no access to a work computer would like to access HRnest on his/her own, he/she can do it from a private device at home.
Can I access HRnest from outside of the workplace?
Yes. HRnest is cloud-based and can be used from any place and any device - all you need to use it is the Internet access.
How long does the configuration of HRnest take?
We do our best to make the configuration process quick and simple. Our experience shows that the configuration for a medium-sized company takes about one day.
Is it possible to integrate HRnest with iCal, Google Calendar or other systems?

3. Free trial period
Can I try HRnest before I buy?
Absolutely! Once you sign up for an account, you can test it free of charge for 21 days, whatever the package (number of employees) you choose. To continue using HRnest after the trial period you need to enter the invoice data into the account panel or notify us.
You can also stop using HRnest at any time during the trial period with no consequences.
Does HRnest offer technical support during the trial period?
Yes! You can always rely on us – send your questions via email, live chat or the contact form at

Will my free trial account automatically switch to the paid version?
No, we will never charge you without your explicit consent. At the end of the trial period we will contact you to ask your opinion about our service and whether you want to stay with us. You can then enter the invoice data in your account panel or send it to us via email.
4. Payment
How can I pay for using HRnest?
The price depends on the number of employees you want to be able to use HRnest in your company. Once you make that decision, we will send you a pro forma invoice with all the necessary billing information. Please note that at present we only accept bank transfers. Once your payment is processed and the money is accounted for, we will send you the final invoice.
What is the billing system for HRnest?
You can make payments for using HRnest quarterly or annually.
When and how can I provide the invoice data?
Your company details for the invoices must be entered into the HR department account configuration (account details). This should be done before the end of the trial period. Your invoices will be issued based on this information.
Are the former employee accounts included in the account limit?
No, your account number limit only includes your active accounts, so you can have an unlimited number of inactive accounts. Whenever an account is blocked (because of e.g. a contract termination), it becomes free again and can be used by another employee.
What does the purchase of access to HRnest look like legally?
We like to keep things simple. When creating an account you will be asked to accept our terms of service along with the electronic version of
the contract entrusting us the processing of personal data
(as required by the GDPR). And that's it!
Can I upgrade the package during the subscription period?
Absolutely! You can upgrade your package at any time during your subscription period. All you need to do is to send us a change order at support@hrnest.io. The higher package will be activated as soon as we receive the additional payment. The calculation of the amount of the additional payment will take into account the value of the subscription you’ve already paid for and the number of days remaining until the end of your subscription.
Can I downgrade the package during the subscription period?
Yes, you can downgrade your package but it will become active at the end of your subscription period, so no reimbursements are possible. All you need to do is to send us a change order at support@hrnest.io.
Are the manager’s and HR department’s accounts paid extra?
No, the manager's account is considered a normal employee account, while the HR department’s account is not counted in your account number limit.
Do I have to buy all HRnest modules?
No, you can choose the modules that suit your needs. We offer three packages to choose from:

Leave + Work time + Personal File management
You can change the package at any time during your subscription period. If you need a customized package, please contact us at support@hrnest.io or give us a call at +48 514 521 492 or +48 572 581 991, and we will get you a customized solution.
Does the price include VAT?
No, all the prices on our website are the net amounts.
Are there any limits for individual packages?
Yes, the employee limit for each of the packages is indicated in our
pricing

5. Account access
Has my account been blocked?
Your account may be blocked if you enter an incorrect password five times in a row. To unlock your account, select the 'Unlock account' option and complete the form. The reset link will be sent to the email address assigned to your account. If you do not have an email address assigned to your account, please contact the HRnest administrator in your company to unlock the account.
I forgot my login, what do I do?
Select the 'I don't remember login' option on the log in page and fill out the form. The login will be sent to the email address assigned to your account. If you do not have an email address assigned to your account, please contact the HRnest administrator in your company for help.
I forgot my password, what do I do?
Select the 'I don't remember password' option on the log in page and fill out the form. The new password will be sent to the email address assigned to your account. If you do not have an email address assigned to your account, please contact the HRnest administrator in your company to get a new password.
Who can have access to HRnest at my company?
Access to the system can be given to employees, managers and HR Department. The access to individual sections in particular modules can be changed by the person administering the system in the company. Additional access, e.g. for the Accounting Office, can also be created.
Should the administrator of the HR department’s account have an employee account?
Yes, every employee in the company should have a personal HRnest account.
6. Security
Is it safe to use HRnest?
